Candidate Creation Issues

1. Candidate already has a profile for this program and cannot be created. 

If you try to create a candidate account and receive this message, it means the email address is attached to an existing candidate profile.

You can find the candidate by searching for their email address using the email address field on the Basic or Advanced Search. 

We have also encountered many cases where a candidate accidentally created a recruiter profile. Therefore, if you cannot find a candidate profile associated with the email address then you should search for a recruiter profile associated with the email address using the email address field in the Basic and/ or Advanced Search.

Lastly, we have countered a few cases where a candidate may be associated with a recruiter user account. The different between a recruiter profile account (mentioned above) and a recruiter user account is that a recruiter profile account is associated with a company. In this case, a recruiter user account is not associated with a company because candidates begin creating a recruiter profile until they are asked what company they are associated with and realize they are creating a recruiter account and close out of registration before selecting a company.

To search for recruiter user account associated with the email, go to Configuration tab>Manage Users<Employer Users>Click the double arrow icon in the user name search filter and enter the candidates email.

If you find the recruiter user account associated with the email, you will need mask the email address in order to create a candidate account with the email address as an email address can only be associated with either a candidate, admin OR employer account.

NOTE: If Manage Users is not listed under the configuration tab, then your account does not have access to this utility.

If you still cannot find the account associated with the email address send in a ticket.

If you do not see the Email Address field listed on the Basic or Advanced Search for candidate and/ or Recruiters, please send a support ticket to your support address requesting that this field be added to both searches.

 

 

2. Candidate found, but does not have a profile for this program.

If you try to create a candidate account and receive this message, it means the email address is attached to an existing candidate profile on a different pid.

If you click Create Profile you’ll be creating profile for the candidate on a different pid.

 

 

3. Username already exists

If you try to create a candidate account and receive this message, it means the username you are trying to use is attached to an existing candidate account.

You would have to choose a different username or send in a ticket to determine what candidate is using the username.

 

 

4. The candidate username is less than 5 characters, but the system requires a username of at least 5 characters

If you try to create a candidate account and receive this message, enter a temporary username for the candidate then send in a ticket requesting to update the candidates username to the correct username.

Be sure to provide sufficient information in the ticket, such as:

- Current Username

- Actual Username

- Candidate Name and PID

Note: The 5 character limit is a security safeguard that we can override on the back end. We have no intention of lifting this restriction.


5. The password field is required but my school has SSO setup.

If you try to create a candidate account and receive a message that password field is required and your school has SSO setup for candidates then proceed to enter a password. Because your school has SSO setup, the password you enter here will be completely ignored during the login process.
